1. Who we are
Captain Mobile Tyres is the trading name used for the mobile tyre services described on this website. For data-protection purposes, the controller responsible for your personal information is Captain Mobile Tyres Ltd, . We are a private limited company registered in England.
Questions about this policy or the way we use personal information can be sent to Support@captainmobiletyres.co.uk, or raised by calling 0735 629 1974.
This policy applies to website visitors, people who contact us, customers, prospective customers and people connected with a service booking.
2. Personal information we collect
Depending on how you interact with us, we may collect:
- Identity and contact details: name, telephone number, email address, billing details and the identity of the person making the booking;
- Location details: postcode, service address, live location or roadside location, access instructions and location photographs;
- Vehicle and service details: registration, make/model, tyre size, wheel position, tyre photographs, fault description, requested work, appointment time and fitter notes;
- Booking and transaction details: quotation, deposit, balance, payment status, invoice, cancellation, refund and complaint records. Payments may be processed through Monzo or Stripe. Full payment-card details are handled by the relevant payment provider and are not stored by us;
- Communications: messages, WhatsApp conversations, emails, enquiry forms, call notes and any photographs or documents you send;
- Technical and usage details: IP address, browser/device information, referring page, timestamps, essential browser-storage information and security logs, where collected by our website, hosting provider or security tools;
- Marketing preferences: whether you agreed to or opted out of promotional communications; and
- Other relevant details: information needed to address accessibility, safety, legal, fraud-prevention or complaint issues.
Please do not send sensitive information that is not needed for the service. If special-category information is genuinely necessary, we will handle it only where an additional legal condition applies.
3. How we collect information
We collect information directly when you call, use WhatsApp, complete a website form, enter a postcode, request a quote, pay, book, receive a service, complain or otherwise communicate with us.
We may also receive relevant information from another person booking on your behalf, a vehicle owner or fleet contact, a fitter or service provider, a tyre supplier, payment provider, advertising platform, website/analytics provider, insurer, professional adviser or public authority.
If you give us information about another person, you should have a lawful reason to do so and, where appropriate, make them aware of this policy.
4. Why we use information and our lawful bases
| Purpose | Typical information | Lawful basis |
|---|---|---|
| Respond to enquiries, check availability and prepare a quote | Contact, location, vehicle and tyre details | Steps requested before entering a contract; legitimate interests in responding and operating our service |
| Confirm, schedule, dispatch and deliver a service | Contact, live/service location, vehicle, booking and fitter information | Performance of a contract; legitimate interests where coordinating with relevant service providers |
| Take deposits and payments, issue invoices and administer refunds | Identity, booking, payment status and transaction records | Performance of a contract; legal obligations; legitimate interests in financial administration |
| Customer service, complaints, warranty enquiries and disputes | Booking history, communications, photos and service records | Contract; legal obligations; legitimate interests in resolving issues and protecting legal rights |
| Maintain, secure and improve the website and services | Essential technical logs, service enquiries and operational feedback | Legitimate interests in operating, securing and improving our services |
| Prevent fraud, misuse and security incidents | Technical logs, communications, booking and payment information | Legitimate interests in protecting customers, systems and the business; legal obligations where applicable |
| Keep accounting, tax, compliance and legal records | Invoices, payments, contracts, complaints and relevant communications | Legal obligations; legitimate interests in establishing, exercising or defending legal claims |
Where we rely on legitimate interests, we consider whether the use is necessary and balanced against your rights and reasonable expectations. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful use.
5. Postcode checker, maps and location information
Our availability checker may send the postcode you enter to Postcodes.io to obtain location coordinates. A map may then be displayed using OpenStreetMap map tiles or related mapping technology. Those providers may receive technical request information such as your IP address, browser information and the requested map area under their own privacy terms.
The checker may store a result in your browser for approximately 15 minutes so repeated searches can show a consistent estimate. This short-term browser storage may include a protected or transformed version of the postcode and the generated availability estimate. You can clear it through your browser storage controls.
Fitter numbers, availability and response times displayed by the checker are estimates only. The checker supports an enquiry and does not make a solely automated decision that produces legal or similarly significant effects. A booking is confirmed only after direct confirmation from us.
If you share live location through WhatsApp or your device, we use it to identify the requested attendance point and coordinate the service. Avoid sharing continuous location access when a single location pin is sufficient.
6. Telephone, WhatsApp and messaging
When you call or message us, we use the information supplied to answer, quote, administer and deliver the requested service. WhatsApp is operated by Meta and processes account, device and communication-related information under its own terms and privacy policy. Do not send card security codes or unnecessary confidential information through messaging services.
Telephone calls may be recorded for quality assurance, staff and fitter training, booking verification, complaint handling, fraud prevention and the protection of customers and our business. Where practicable, callers will be informed that recording is taking place. Recordings are normally retained for up to 90 days and then deleted, unless a recording is required for longer to investigate a complaint, resolve a payment dispute, meet a legal obligation or establish, exercise or defend a legal claim.
Operational service messages—such as quotation, booking confirmation, fitter dispatch, arrival updates, payment and safety messages—are not marketing and may be necessary to perform the contract.
7. Cookies and browser storage
Cookies and similar technologies are small files or browser-storage items used to make a website function, provide security and remember necessary service choices. We currently do not use Google Analytics, advertising cookies or advertising pixels on this website.
Strictly necessary technologies may operate without consent where they are required to provide a function you request. For example, our postcode checker may temporarily store a result in your browser for approximately 15 minutes so repeated checks provide a consistent response.
You can delete or block cookies and browser storage through your browser settings, although doing so may affect the operation of some website features.
If we introduce Google Analytics, advertising pixels or another non-essential tracking technology in the future, we will update this policy and introduce the consent or objection controls required by applicable law before enabling that technology.
8. Who we share personal information with
We share only what is reasonably necessary with appropriate recipients, which may include:
- the mobile fitter, technician, dispatch or service provider assigned to assess or attend your job;
- tyre, parts and logistics suppliers where needed to source or deliver an item;
- payment processors, banks and fraud-prevention providers;
- website hosting, IT, security, communications, customer-management and mapping providers;
- WhatsApp/Meta and other communication platforms you choose to use;
- accountants, insurers, solicitors and other professional advisers;
- law enforcement, courts, regulators, tax authorities or other bodies where disclosure is required or legally justified; and
- a buyer, investor or adviser involved in a genuine sale, restructuring or transfer of all or part of the business, subject to appropriate confidentiality protections.
We expect service providers handling information for us to protect it, use it only for the agreed purpose and comply with applicable data-protection requirements. Where a recipient acts as its own controller, its privacy policy also applies.
9. International transfers
Some technology, payment or communication providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we will use an adequacy regulation, an approved contractual safeguard such as the UK International Data Transfer Agreement or UK Addendum, or another lawful transfer mechanism. You may contact us for more information about safeguards relevant to your information.
10. How long we keep information
We keep information only as long as reasonably necessary for the purpose collected, including service, accounting, warranty, legal and dispute requirements. Actual periods can vary depending on the nature of the record.
| Record | Typical retention approach |
|---|---|
| Unconverted enquiry or quote | Usually up to 12 months after the last meaningful contact, unless needed longer for a complaint or legal issue |
| Booking, job, invoice and payment records | Usually up to 6 years after the relevant transaction or financial year, to meet tax/accounting needs and deal with claims |
| Service photographs and fitter notes | For the warranty/complaint period and then only as long as reasonably needed for legal or operational records |
| Complaints and disputes | Usually up to 6 years after closure, or longer where a claim or legal requirement continues |
| Marketing preferences | Until you opt out; a minimal suppression record may then be retained so we respect the opt-out |
| Website and security logs | Retained only for as long as reasonably necessary to operate and protect the website, investigate faults and address security incidents. |
| Postcode-checker browser result | Approximately 15 minutes in the user’s browser, subject to browser operation |
We may anonymise information so it can no longer identify you and retain that anonymous information for statistics and service planning.
11. How we protect information
We use proportionate technical and organisational measures intended to protect information against accidental or unlawful loss, alteration, disclosure, access or destruction. Measures may include access controls, secure accounts, software updates, encrypted connections, backups, staff/provider confidentiality and limiting data to what is necessary.
No internet, telephone or messaging service is completely secure. Please use care when sending information and contact us promptly if you believe your details or account may have been compromised.
12. Your data-protection rights
Depending on the circumstances and lawful basis, UK data-protection law may give you the following rights:
Your right to object: you have an absolute right to object to the use of your personal information for direct marketing. Where we rely on legitimate interests for another purpose, you may object and we will assess whether overriding lawful grounds require the processing to continue.
To exercise a right, contact Support@captainmobiletyres.co.uk. We may ask for proportionate information to confirm your identity. Rights are not absolute, and we will explain if an exemption or other lawful reason affects the request. We normally respond within one month.
13. Marketing choices
We do not currently use your telephone number, email address or WhatsApp details to send promotional marketing. We may still send operational messages needed to respond to an enquiry or administer an active quotation, booking, dispatch, payment, warranty, complaint or safety issue.
We do not sell personal information. If we introduce promotional communications in the future, we will update this policy, follow applicable electronic-marketing rules and provide a clear method to opt out.
14. Children, third-party links and policy changes
Our services are intended for adults arranging vehicle services. We do not knowingly seek personal information from children. If you believe a child has supplied information without appropriate authority, please contact us.
Our website may contain links to third-party websites. We do not control their privacy practices, and you should read their privacy information before providing personal data.
We may update this policy when our services, providers or legal obligations change. The latest version will appear on this page with a revised “last updated” date. We will use an appropriate additional notice if a change materially affects how we use existing information.
15. Contact us or make a complaint
Please contact us first if you have a privacy question or concern so we can try to resolve it.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK data-protection regulator. Visit ico.org.uk/make-a-complaint or call 0303 123 1113. We would appreciate the opportunity to address your concern first.
This policy reflects the services and systems described to us as at the last-updated date. It should be reviewed whenever payment, analytics, communications, booking or cookie systems change.
